Job Main Scope: 

It is a creative and enthusiastic technical assistant to support Europe, Middle east, and Africa team with administrative and technical tasks. This role will provide pro-active high-level secretarial support, in this busy and demanding environment, a top level of service is always required.  

The PA is self-starter and can interact with senior and international network both inside the business and externally.  He/she must be capable of managing his/her own time effectively, manage a high volume of work (much of which is required in short timescales and with high accuracy to meet the Company’s high standards of Corporate Governance). Composing communications, scheduling meetings/ events, and creating both regional and global reports. The role will require high-level administrative skills, technical training, and the ability to work with diversified teams and cultures.

Job Key Responsibilities:

As PA Assistant:

  •  To act as a PA to RA Head EMEA, providing the support necessary to aid in travel arrangement, agenda management, and other necessary areas, to enable them to manage their schedule and workload seamlessly.  

  • To organize an accurate and workable meetings schedule for the director and team, prioritizing and proactively managing competing priorities.

  • Diary management – filtering and prioritizing, avoiding clashes, planning meetings ahead.  

  • Organization and administration of local meetings & visitors, including regular Team meetings – coordinating all logistics i.e. attendees, timings, equipment and rooms.  

  • Management of external stakeholders - responsible for reception and smooth running of meetings.

  • Screen, respond to and redirect mail, as appropriate.  

  • Process travel expenses and invoices.  

  • Travel management – preparation of itineraries, visas, transport, etc.

  • Proactively collaborating with PA’s within the company.  

  • Share best practices and Ways of Working.  

  • managing different meeting (Scheduling & MOMs)

  • Organize head of RA travel arrangements.

  • Organize EMEA RA regional meetings and events.

  • Provide technical assistance to EMEA leads.

As Regional Coordinator:

  • To be responsible for pulling together presentation and pre-reading materials and collating in a timely manner, in preparation for meetings.

  • Work closely with EMEA 1UL BG leads on data collection for global reports

  • Responsible for RA EMEA communications, and RA newsletters.

  • Pro-actively tackling issues related to administrative processes to ensure speed and efficiency across EMEA.  

  • Ownership of JML (Joiners, Movers & Leavers) process for the team.

  • Creation and Management of documents database.

  • Managing Budget reports across EMEA.

  • Managing team events (Regional meetings, team buildings etc…)

Job Requirements & Qualifications

  • Bachelor’s degree in relevant studies 

  • 2 to 5 years of Experience

  • Fluent English (verbal and written)

  • Excellent verbal and written communication skills

  • The position involves communication with staff at all levels throughout the Company and external contacts.  

  • The incumbent will be required to build and develop knowledge of key individuals and respond appropriately to queries and requests. 

  • proficiency in MS office : excel, power point , word is a must

  • Digital skills: powerBi or any alike is a plus

  • Event management

  • Strong Presentation Skills and Creativity
