We are looking for a Senior Payroll Specialist on fixed term contract for 12 months. This role is envisaged to be the liaison for the highly skilled retained part of the payroll function encompassing the areas detailed in Role Responsibilities. With team fit and culture a priority, the business is seeking a dynamic and motivated Senior Payroll Specialist to oversee Payroll operations and ensure compliance with internal policies, EBA processes and legislation.

Role Responsibilities:

Subject Matter Expert

  • The face of UL to our third parties

  • From superannuation, Insurance to pension providers through to tax authorities and internal / external auditors – in terms of Tier 3 issue resolution, communication of process changes, pro-active process management / improvement etc.

  • Our internal expertise teams and business functions such as Tax, Finance, GM, Benefits, Superannuation, Insurance, Pensions, and Recruiting.  

    • Escalation point – for those highly complex cases or queries where the outsourcer requires UL resolution support or wider UL stakeholder engagement.

    • Understands and have worked on EBA

    • Setting the continuous improvement agenda  as per above,  including identifying and addressing process compliance issues within the UL business.

    • Working with ADP is essential

Service Provider Management

  • Day-to-day vendor service management, Superannuation management for both Australia and New Zealand , Insurance management for salary continuance.

  • Vendor service and compliance quality controls (this is seen as a critical activity where adding a UL control point is considered to have an impact upon service quality).

  • Holding both the ADP and In-house Employee experience team accountable for their part in successful service delivery

  • Provide the key relationship point of contact with the service provider management team

  • Manage contractual change request process with the supplier – taking into account local regulatory, legal and business demands

Service Ownership

  • Working closely with the payroll lead, site admins and act as an authority on the service where there is required by the process.

  • Is responsible for identifying, prioritising, and resolving service failures and deficiencies.

  • Working closely with the Head of employee experience and drives continuous improvement of their service

  • Acts as an escalation point for any process failures or exceptions for their service

Change Management

  • Proactively keep abreast of pending changes in legislative and EBA requirements and its impacts to UL.

  • Leading monthly the Payroll Governance Steering Committee where key issues and risks will be discussed, and any changes to Award Interpretations will be reviewed and agreed

  • Providing guidance, suggesting improvements, and leading rectification Payroll Governance projects and system deployments

  • Change control – a holistic view encompassing policy, up and downstream process implications, identification and proactive management of service and process issues resulting from changes applied to business processes and systems, review and approval of UAT test plans and results etc.

Problem and Issue management

  • Final checks on release of payroll to ensure the proper control points have been executed and there is evidence of supplier review.   

  • Coordinate overpayment and bank rejection with Finance & ADP

  • Handle super contribution for resigned employees or IA who changed/closed super account (both AUS and NZ)

  • Coordinate Novated lease deduction with Finance for payroll process

  • Update Superannuation  with new hirers and leavers’ information

  • Coordinate between 3rd parties and ADP,  for examples child support, Government parental leave pay, Centrelink, court hearing & etc.

  • Coordinate with workers compensation team and ADP to process for compensation calculation and payment

  • Be the contact point for site admin/HRBP for payroll process queries.

Commercial Management:

  • Responsible for Liaising with Service provider where discrepancies exist in management information or cost data.

  • Escalates to Head of Employee Experience & Payroll Lead where agreement or resolution of discrepancies is unobtainable.
