JOB PURPOSE

WHAT WILL YOUR MAIN RESPONSIBILITIES BE

  • Documentation Management:
    • Can prepare and verify shipping documents: Packing Lists, Proforma Invoices, Certificates of Origin, Bills of Lading, etc.
    • Ensure accuracy and compliance with destination country regulations.
    • Liaise with freight forwarders and customs brokers for timely document delivery.
  • Shipment Coordination:
    • Plan and manage monthly/weekly/daily export schedules.
    • Coordinate container bookings and follow up on cancellations or changes.
    • Share loading details with service providers for documentation processing.
  • Stakeholder Communication:
    • Daily coordination with Customer Service and Planning teams.
    • Respond to queries regarding documentation discrepancies.
    • Maintain communication with 3PLs, transport teams, and clearance agents.
  • Process Optimization:
    • Analyse end-to-end shipment lead times to identify and eliminate non-value-added activities.
    • Suggest automation and improvements to reduce documentation errors and delays.
  • Compliance & Reporting:
    • Monitor and update shipments KPIs and trackers.
    • Ensure timely submission of documents to customers and authorities.
    • Conduct monthly reviews of supplier SOAs and support payment processes.

Key Performance Indicators (KPIs):

Documentation Accuracy Rate –100 % of shipments with error-free documentation. On-Time Document Submission – 100% of documents submitted within required timelines. Export Lead Time – Average time from order confirmation to document dispatch. 3PL Performance Compliance –3PLs meeting agreed documentation KPIs. Customer Satisfaction Score – Feedback from internal and external stakeholders. Process Improvement Initiatives – Number of implemented improvements reducing lead time or errors. Audit Compliance Rate –100 % of documentation passing internal/external audits without issues.

WHAT YOU NEED TO SUCCEED

Experiences & Qualifications

  • University degree in Business Administration / Engineering / Logistics
  • Fluent in English and any of the following ( Arabic/Urdu/Hindi )
  • Proficiency in MS Office applications
  • Excellent communication skills
  • Minimum 2 years of experience in similar positions in Logistics / Planning

Skills

  • SAP or any ERP system knowledge is preferable
  • Good working knowledge of Supply Chain Processes
  • Knowledge in Power BI or any automation tool is a plus
