JOB PURPOSE:

The Travel & Expense (T&E) Global Operations Assistant Manager provides strategic leadership and operational oversight for global T&E processes. This role ensures compliance with corporate policies, drives automation and efficiency, and delivers a seamless employee experience across multiple geographies. The position manages xx indirect reports, fostering a culture of accountability and continuous improvement.

KEY RESPONSIBILITIES:

• Lead end-to-end T&E operations, including reimbursements and corporate card programs.
• Act as the global escalation point for complex issues.
• Develop, implement, and enforce global T&E policies.
• Partner with controllership and audit teams to ensure adherence to global mandates.
• Drive automation and process improvements using Concur and AppZen.
• Monitor KPIs, SLAs, and workflow efficiency.
• Collaborate with Finance, Procurement, HR, IT, and Audit teams.
• Provide insights and reporting to senior leadership.
• Conduct performance reviews, capability building, and succession planning.
• Deliver spend analysis, compliance dashboards, and audit reports.
• Provide actionable insights for cost optimization and decision-making.

PERFORMANCE METRICS:

Operational Efficiency

• SLA Adherence [Payment on Time]– % of expense reports processed within defined turnaround time.
• Automation Impact [Auto & Touchless Approvals] – Reduction in manual interventions through Concur/AppZen automation.
• Error Rate – % of rejected or reprocessed claims.

Compliance & Governance

• Audit Findings – Number and severity of audit exceptions.
• Policy Compliance – % of claims aligned with global T&E policy.
• Fraud Detection – Incidents identified and resolved through proactive monitoring.

Stakeholder & Employee Experience [NPS]

• Employee Satisfaction – Survey scores on ease of reimbursement and card usage.
• Escalation Resolution – Average time to resolve escalations.
• Training Coverage – % of employees trained on updated T&E policies.

Financial Impact

• Spend Optimization – Savings achieved through policy enforcement and analytics.
• Budget Alignment – % adherence to global budget allocations.
• Reconciliation Accuracy – Accuracy of accruals and ledger postings.

Leadership & Team Development

• Team Engagement – Engagement scores of 3 WL1Ds and 24 indirect reports.
• Capability Building – % of team completing skill development programs.
• Succession Planning – Readiness of identified successors for critical roles.
