JOB PURPOSE

The Global Position Specialist is responsible for maintaining best practice position and supervisory organizations management within the Workday system.  In addition, they will be accountable for building and maintaining knowledge of the topic with other People Experience (PEX) roles and being the data quality guardian of position management and supervisory organisation (SO) accuracy, quality, and adherence to our organization data quality rules. 

RESPONSIBILITIES

  • Be the subject matter expert on position management best practice and supervisory organization management, to maintain accuracy of the organization hierarchy data in Workday.
  • Complete a licence to operate certification annually to ensure knowledge is kept up to date and aligned with best practice operational requirements or changes to process. 
  • Collaborate with Talent Partners, Recruitment Administrators, HR Business Partners, Line Managers, and other stakeholders to ensure accurate and timely position management within Workday.
  • Proactively and continuously monitor and maintain accurate position data and SO data for internal and external reporting purposes and not just as a response to a transactional request.
  • Ensure position data is consistent with company policies and compliance requirements.
  • Attain detailed knowledge and understanding of the organization hierarchies for the function/geography you are supporting to provide insightful advice and guidance. Able to recognise when something isn’t correct in the system, when a request is going to create challenges and advise corrective actions.
  • Able to trouble shoot different and unusual scenarios, according to position management rules and principles, interrogate WD for root cause of issues and suggest solutions.
  • Review data from the Data Quality dashboard or generate reports, in line with data quality rules and metrics to review data validity, completeness, and accuracy.  Partner with HRBP’s and LMs on any positions/SO’s that are conflicting with data rules and make changes accordingly. 
  • Ensure the accuracy and integrity of HR Data by conducting regular data quality checks across a variety of rules and data attributes that you are responsible for keeping cleansed.  Collaborate and work closely with HR Master Data Governance team on regular basis.
  • Partner with other HR functions, such as Talent and Reward, to ensure positions are aligned with company strategies and needs.
  • Manage transactional position requests and changes in a timely manner, ensuring adherence to established processes, SLAs, and timelines.
  • Act as a subject matter expert on position management processes and systems, providing training and support to other team members, or stakeholders as needed.
  • Support centrally managed large project changes for Mergers and Acquisitions, Divestments or Restructuring or similar structural changes.  Collaborating with Hubs and Markets where needed for the best outcome in the timeframe required.
  • Ability to manage bulk requests and processing EIB’s to upload to Workday and trouble shoot any loading error or issues.

  • Workday Knowledge: HCM transactional knowledge of using Workday is essential.  Understanding the use of positions, related position attributes and Sup Orgs in Workday as well as reporting.
  • Case Management:  The ability to monitor a high-volume assignment queue, track and resolve cases within the required SLA.  Knowledge of ServiceNow desirable.
  • Classification and Compensation: A position management specialist should be well-versed in job classification and compensation practices. This includes understanding different job levels, salary structures, pay grades.
  • Multi-Level Position Management: Understanding the dynamics of our global workforce and employment practices will be valuable for managing positions in various locations/regions.  As Unilever is a large global organization with multiple offices/factories, there may be complex hierarchies and diverse job roles. The ability to navigate and manage positions across different levels and functions is important.
  • Communication: Effective communication skills for interacting with stakeholders at all levels.  The ability to articulate position management policies, guidelines, and decisions clearly is important.
  • Collaboration: Ability to collaborate with PEX teams, HRBP's and Line managers to gather position-related information.
  • Proactivity & Self Confidence: Proactive mindset with the ability to make informed decisions and able to challenge when data rules are not being met.  (A deliberate shift away from being transactional and reactive and not taking an action if you are not 100% clear it’s correct)
  • Data Analysis and Reporting: Strong data analysis skills are required to evaluate and interpret job-related data in accordance with a detailed set of data quality rules. The ability to generate reports, analyse data, and present findings is essential for making informed decisions and recommendations.
  • Attention to Detail: Position management involves working with intricate details, such as positions, position attribute data and organizational structures. A high level of attention to detail is necessary to accurately assess and document position information, ensure compliance, and maintain consistency and accuracy. 
  • Ownership: Strong sense of accountability and responsibility to own and keep organizational data cleansed.
  • Continuous Learning: Position management practices and regulations can evolve over time. A good position management specialist should have a willingness to stay updated with industry trends, changes in employment laws, and emerging best practices. Continuous learning ensures compliance and effectiveness.
  • Change Management: In a fast-moving industry and organization, change is inevitable. Being skilled in change management principles and techniques will help in effectively adapting position management processes to evolving business needs, such as mergers, acquisitions, or restructure and reorganizations.
  • Time Management:  Demonstrated ability to manage competing priorities and work independently in a fast-paced environment.
  • Digital Proficiency:  Proficient in Microsoft Office suite, with good working knowledge of Excel (basic level not sufficient)
  • Education: Bachelor’s degree in HR or related field
  • Work Experience: Suitable years of experience in HR, HR Services, or related field.
