JOB PURPOSE

If you are passionate about coordinating agendas, networking, influencing internal and external stakeholders, managing multiple tasks and supporting and streamlining administrative processes, then this role is just for you!

WHAT WILL YOUR MAIN RESPONSIBILITIES BE

  • General Manager Andina’s Agenda management: Manage the executive’s agenda, coordinating with a wide range of internal and external stakeholders to ensure diaries goes smoothly, as well as pivoting and changing where needed.
  • Event management: Arrange Meetings, Visits, Conferences, and special Events for the Andina Leadership Team.
  • External contacts management: Effective communication with external contacts at a senior level and organizations that involve the Andina’s General Manager and/or LT participation.
  • Purchasing Process: Leads this process in conjunction with local support, ensuring all approvals completed within time frames for expenses on all relevant systems (Coupa mainly).
  • Visitor management: Works hand in hand with WPS and Security to ensure the correct management of international travelers.
  • Administrative Process Efficiencies: Identify and implement efficiencies and standardization of administrative tasks or processes for all Functions, together with other related areas.

WHAT YOU WILL NEED TO SUCCEED

Experiences & Qualifications

  • University degree in Business Administration, Engineering, Economics or related fields.
  • English proficiency is a must.
  • Experience:
    • +5 years of proven experience and track record of high performance as a Personal Assistant or Administrative Assistant and experience working in a regional or global organization, preferably in the FMCG industry.
    • Managing office processes is important and where necessary, developing new approaches to meeting changing needs.
    • Excellent in Microsoft applications including Outlook, Word, Excel, and PowerPoint, in Coupa for budget management.

  • Ability to quickly acquire new IT skills to utilize key company software and systems.
  • Strong interpersonal skills - Capable to build relationships with an international network and key stakeholders across different levels in and outside of the organization.

  • Business Acumen - Accuracy and speed are essential.
