Job Purpose

The B&J EU Executive Assistant & Office Manager is a pivotal role within the Ben & Jerry’s EU team, providing high-level administrative support to the EU Director and operational coordination for the Barn team, our B&J office in Datchet. This role ensures the smooth running of the Datchet office, manages workplace services, and supports internal events and visits. It requires a proactive, organised individual with strong communication skills and the ability to manage multiple systems and stakeholders.

Key Responsibilities

  • Provide executive support to the EU Ben & Jerry’s Director, including calendar management, travel arrangements, and meeting coordination.
  • Support the B&J EU and Barn team with administrative tasks such as processing expenses, raising and tracking purchase orders (POs), handling mail, and coordinating logistics.
  • Manage workplace services at the Datchet office, including overseeing cleaning contractors, site operations, and vendor coordination.
  • Maintain office supplies, equipment, and facilities taking pride in our office being a great place to work.
  • Track operational budgets and support leaders in making informed decisions regarding facility related expenditures
  • Ensure the office adheres to health and safety regulations and company standards. This includes coordinating with the SHE team, organising training sessions, and conducting regular safety audits.
  • Organise internal events, team offsites, and stakeholder visits, including logistics for the annual Board of Directors visit.
  • Foster a positive office culture and ensure high levels of employee engagement by assisting in organising team-building activities and and addressing workplace issues promptly.
  • Assist line managers with the onboarding process for new hires, ensuring they have a designated workspace, are familiar with office resources, and feel supported throughout their integration.
  • Perform any other tasks related to supporting the EU leadership team and managing the office as required.

What you need to succeed

  • Minimum of 5 years’ experience in an executive assistant or office management role, preferably within a corporate or FMCG environment.
  • Proven ability to manage complex calendars, travel arrangements, and stakeholder communications.
  • Demonstrated ability to adapt quickly to challenges and proactively improve team and individual efficiency.
  • Strong organizational and multitasking skills with attention to detail.
  • Experience in managing workplace services and coordinating with external contractors.
  • Proficiency in Microsoft Outlook, Teams, SAP, Coupa, and other administrative platforms.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively within a team.
  • Experience in event planning and logistics coordination is desirable.
