Job Purpose

To provide administrative support to the National account team, State Management Team and Field Sales Team for Corporate/Independent P&C (Petrol & Convenience) and the HORECA (Hotel, Restaurants & Catering) Channels.  This is a full-time, permanent role based out of the Sydney CBD.

Key Responsibilities:

  • Management of adhoc requests of account team on invoices, freezer movements and claims.
  • Manage Kingloc (freezer and refrigeration provider) communication and movement of equipment.
  • Ensure impact on discretional spend is minimised by ensuring flights are booked on a fixed ticket and where possible the recommended accommodation is used for interstate travel.
  • Timeliness and accuracy of delivery of all administration tasks undertaken within this role and ensuring the correct procedure is used in the management of our contractors and vendors.
  • Manage all local office logistics (including booking meeting rooms, co-ordination of hot desk space, catering requirements, manage office supplies, external meetings and accommodation.
  • Conduit between Field/account team and Kingloc to ensure smooth movement of equipment requests.
  • Creating and processing of expenses and invoices - including but not restricted to:
    • Uniforms
    • Contractors
    • Utilities
  • Organise travel for Account Management Team (including booking requests, and use of correct budget allocations).
  • Conduct adhoc budget reviews on indirect spend.
  • Assist the Event Conference Co-ordinator with organisation of conferences, including journaling of costs to individual cost centres.
  • Build relationships with key TMICC contacts to ensure efficient office operations.

What you will need to succeed?

Experiences & Qualifications

  • 2-5 years administration experience
  • Proven track record of developing strong internal relationships
  • Invoicing management experience (desirable)
  • Vendor management experience (desirable)
  • Corporate travel management experience (desirable)
