JOB PURPOSE

We are seeking a highly organized and detail-oriented Personal Assistant & Events Planner to support our executive team and manage a variety of events. The ideal candidate will have excellent communication skills, the ability to multitask, and a passion for event planning.

WHAT WILL YOUR MAIN RESPONSIBILITIES BE

Personal Assistant Duties:

  • Manage communication for the leadership team of UFS.
  • Schedule meetings and manage calendars.
  • Help with daily time management.
  • Run errands as requested.
  • Plan travel, including flights, accommodation, and ground transportation.
  • Control and settlement of expenses.
  • Support in specific administrative tasks related to the role.

Events Planner Duties:

  • Assist in event planning, design, and production while managing all project delivery elements within time limits.
  • Provide administrative support to the Event Planner, including scheduling meetings, maintaining databases, and conducting research.
  • Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.
  • Manage event set up, tear down, and follow-ups.
  • Propose ideas to improve provided services and event quality.
  • Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
  • Assist in managing all event operations (preparation of venue, invitations, etc.).
  • Handle unforeseen issues and troubleshoot any emerging problems on the event day

Experiences & Qualifications

Skills:

  • Organizational Skills: Ability to manage multiple tasks and projects efficiently.
  • Communication Skills: Excellent verbal and written communication to interact with executives, clients, and vendors.
  • Time Management: Proficiency in prioritizing tasks and meeting deadlines.
  • Problem-Solving: Ability to handle unexpected issues and find effective solutions.
  • Technical Skills: Proficiency in Microsoft Office Suite and event management software.

Experience:

  • Relevant Experience: Proven experience in personal assistance roles.
  • Event Management: Experience in organizing and managing events from start to finish.
  • Administrative Support: Background in providing administrative support to executives or teams.

Qualifications:

  • Education: Higher education is an added value.
  • Certifications: High level of English.
